Identity and licences

Omnia Manage and Microsoft 365 and Entra ID

Omnia Manage syncs users from Entra ID and reconciles Microsoft 365 licences for each tenant, so unused seats are priced in pounds instead of found in a spreadsheet.

What it brings in

  • Users from Entra ID, optionally filtered by group.
  • Each paid Microsoft 365 subscription: seats bought and assigned, and whether it’s still live.
  • Renewal dates for subscriptions.
  • Each licensed user’s licences, whether the account is enabled, and their last sign-in.

How it behaves

  • Cost per seat, renewal dates you enter and notes are never overwritten by the sync.
  • Unused seats are priced in pounds and rolled into the licence waste total on your dashboard.
  • Users can be given client portal access from the sync, using groups you choose.
  • For MSPs, the Microsoft app sits in your own tenant and each client grants consent once. Credentials stay in your own database.

Good to know

  • Last sign-in needs the Entra ID P1 or P2 licence and an audit-log permission in the client’s tenant. Without them the rest still syncs and the result says sign-in data isn’t available.

Questions

Does it find unused Microsoft 365 licences?

Yes. It compares seats bought with seats assigned for every subscription, and prices the unused ones using the cost per seat on the licence.

Can I see who hasn’t signed in?

Yes, where the tenant has Entra ID P1 or P2. Last sign-in appears on each licensed user.

Does Omnia Manage hold our Microsoft credentials?

The app credentials are stored in your own workspace database, not centrally.
