What an IT asset register is for
An IT asset register is the list of everything your organisation owns and manages, with enough detail to answer practical questions: who has this laptop, when does its warranty end, where is it, and what has happened to it. It’s the foundation for refresh planning, licence counts and audits.
What to record for each asset
- Identity: name, type, make, model and serial number.
- Specification: operating system, processor, memory and storage.
- Ownership: who it’s assigned to, and where it is, down to site, floor and room where that matters.
- Life cycle: purchase date, supplier, cost, warranty end date and status.
- History: assignments, repairs, and changes over time.
- A tag: a short unique identifier you can put on the equipment itself.
Include more than the IT
AV equipment, interactive displays, furniture and printers often end up on separate lists or none at all. Keeping them in the same register means one place to look and one audit. Serial numbers can be optional where they don’t apply, as long as the asset has a tag.
Keeping it current
A register that depends on people remembering to update it goes stale quickly. The better pattern is to let your tools fill it in, and keep human edits for what tools can’t know:
- Let the RMM and MDM supply what they’re good at: last seen, status, operating system and hardware specs.
- Match devices on serial number, so a device reported by two tools is one asset, not two.
- Never let a sync overwrite something a person set by hand, such as a status or a purchase cost.
- Mark devices not seen for a set time, or removed from a tool, as inactive and review them rather than deleting them silently.
Common mistakes
- Duplicates, because two tools each created their own record.
- Missing purchase dates, which makes refresh planning guesswork.
- Deleting retired devices, which loses the history you may need later.
- No tag on physical equipment, so the register can’t be checked against the room.
How Omnia Manage keeps it current
Omnia Manage syncs devices from your RMM and MDM, matches them on serial number, records every change on a timeline for each device, and flags devices that have gone quiet. Details and statuses you set by hand are never overwritten, you can import an existing spreadsheet from CSV or Excel, and you can add your own custom fields.
